School
Year vs Summer Enrollment
Enrollment for members can be different
depending on the time of year.
Reports need to be pulled for School year and
Summer time and there a couple of ways this information can be
tracking in the Member Tracking System.
Example 1:
Members Enrollment dates span a whole year.

On the main Members
tab of the Members form the Entry date and Expiration date span a
whole year.

Members who attend
during the summer can be placed in a Group named Summer 2009.

From the Main Menu
click on Groups.

Click on Add Group
and type in the name Summer 2009.

Add the members
from the Eligible to Join side (right) to the Group Members (left)
by clicking on their name and click the green arrow or double
click on the name. NOTE: you can select multiple members in the
Eligible to Join box by clicking on the first person then hold
down the CTRL key and click on additional names then click on the
green arrow.

Once the members
are in the new Group any reports can be pulled by that Group.

Each year you will
create a new Group named Summer 2009, Summer 2010 etc.
Example 2:
Each Member has Enrollment dates that span the school year and new
Enrollment dates that span the summer.

On the main Members
form the Entry and Expiration date will change for each time
period.

As each member
enrolls for your summer program you
will click on the View/Update Enrollment History.

Fill in a new Entry
Date and Expiration date and Membership Type of Summer.

Then when summer is
over and your members re-enroll for the school year you will fill in a new Entry & Expiration date for Membership
Type of School Year Only or Regular.

All reports can be
pulled by Entry Date and Expiration Date and Membership Type.
Each Organization keeps track of Summer and
School Year enrollment in a different way. Try each of the examples
and see what works best for you.
