QUICK TIPS
How to Build Reports in Member Tracking
There are 115+
standard reports in the Member Tracking System. Please review the
tabs to determine what type of report you’re looking for. Follow
these steps to build reports specific to your needs:

From the Main Menu, click on Reports

You will see a variety of Member reports
available. Look through these reports, to see if you find what
you need. Click through the other tabs from the top, which
include Members 2, Calendars, Groups/Schools/Activities,
Organization/Unit, Demographics and Financial

Click on the report you need. Example:
Let’s say you need a count of members and income levels. Click
on the Financial tab, and then click on the report called Income
Report. This will take you to the Universal Selection Engine

From this screen, you can build your report
based on specific needs or requirements. From the left-hand side
of the screen, place a checkmark next to the fields you need, to
narrow your search. Once you select those parameters, click on
the preview button to view your report. You may be prompted to
select a date range or income level. Choose your desired
selections, then preview the report or print it for your files.
If you choose “Count,” it will only provide the number of
current members with the parameters you selected

If you need timeframe parameters, use the
choices available on the right-side of the Universal Selection
Engine screen. For example, you can choose among all members or
an individual member. You can specify dates of attendance, entry
dates or expiration dates. Once you select your parameters,
choose preview to view your report
EXAMPLE:
To pull a list of Active, Male members who attended your club in
October

On the Time Frame window above click
on the Attended at least on day and fill in the dates from
10-01-03 to 10-31-03

To choose Active members, click on
the box to the left of Membership Status and on the right a choice
will appear for Active or Non Active, click on the Active checkbox
-
To choose only Male members, click
on the box to the left of Genders and on the right a choice will
appear for Male or Female, click on the Male checkbox

Then click on Count to get a count
from your choices

Then click on Preview to view the
list or Print to print it
EXAMPLE 2:
To pull a list of Active, 5-8 year old members from a particular
school

On the Time Frame window above click
on the All Members in the System
-
To Choose Active members, click on
the box to the left of Membership Status and on the right a choice
will appear for Active or Non Active, click on the Active checkbox
-
To choose 5 to 8 year olds, click on
the Ages checkbox on the left and fill in the low age of 5 and the
high age of 8.99. This will include all 8 year olds.

To choose a particular school, click
on the School checkbox on the left and then choose the particular
school from the list on the right.

Click on Count to get a count from
your choices

Click on Preview to view your list
NOTE: You can
choose from any of the reports available by clicking on the Select a
Report dropdown.
