QUICK TIPS
Custom Staff Report

This report will allow you to customize an unlimited number of reports for your staff and/or volunteers. 

1.      Open Member Tracking System.

2.      Click on Reports.

3.      Click on the Staff tab.

4.      Click on the Custom Staff/Volunteer Report.

5.      Click on the Add New Report button in the lower left hand corner.

6.      In the Report Name field, type in the name of the report you will be creating which will be saved for easy retrieval in the future.  Examples: Staff Address and Phone list; Staff Employment Dates and Positions.  (This will be useful in the future when you want to pull the report again.)

7.      Fill in the Report Title field (this field is optional).

8.      Check the box if you would like a Page Break the report by Unit.

9.      Select your first field in the “Fields available to add to report” by double clicking on the field. 

10.  Upon selection, the Field Configuration section will populate on the right hand side of the screen.  The standard properties will be selected for default.  You can select “Custom” and change the name of the header, alignment, and width for your columns.

11.  Continue adding your fields and modifying the configurations as needed for your custom report.

12.  You can use the black up and/or down arrows to change the order in which the fields will be displayed on the report.

13.  You may need to change the Paper Orientation in the top right hand corner if you are selecting more than 5 fields.  The system will notify you if the number of fields that you choose is too wide for the Minimum Report Width at the bottom of the screen. 

14.  When done adding your fields, click on the Next button.

15.  You may get a message that the fields you selected require more room than available.  As stated in the message, you may wish to Export to Excel to assure all your fields are listed.  If you do not want to export, please remove some fields on the report by double clicking on the field you do not want in the “Fields Selected for Report” column.

16.  Select how you would like to sort your report. 

17.  Click Next.

18.  Select the time frame for your report, whether for the entire organization or a specific unit and whether to print Staff and Volunteers/Staff Only/Volunteers Only.

19.  Click Next.

20.  Select whether to print All Types, or Specific Types of Staff and whether to only print Staff/Volunteers that are in a selected group. 

21.  Click Next.

22.  Type in a Subtitle if needed.

23.  Select whether to Preview your report, Print, or Output to Excel. 

NOTE: Click on the Back button on any of the screens in order to go back to change a selection.

NOTE: You can create as many Custom Reports as you like.
