Attendance Frequency - Report

This report will produce many different options based on the criteria chosen.

The Report Format will show a List of Members or Count of Members or Member Years.  The Member Years choice shows a List of Members based on the # of years that they have been a member which is governed by the Club Member Since (Tenure) field on the General tab of the Members screen.

Each of the Report Formats allows you to choose the following:

  • Participation in: Any Activity, A Specific Activity Classification or Specific Activity

  • Attending at: any unit or a specific unit

  • With Activity Participation Between: xx/xx/xxxx and xx/xx/xxxx

  • Who attended between a chosen number of:

  • Days per Week or Month or Quarter or Year for Actual or Average Attendance

  • Days per Date Range for Average Attendance

  • Weeks per Month or Quarter or Year for Actual or Average Attendance

  • Weeks per Date Range for Average Attendance

  • Months per Quarter or Year for Actual or Average Attendance

  • Months per Date Range for Average Attendance

  • Quarters per Year for Actual or Average Attendance

  • Quarters per Date Range for Average Attendance

  • Years per Date Range for Actual or Average Attendance

If you choose:
     Participation Between 1-1-09 and 3-31-09
     Attended between 1 and 2 Days per Week
     Actual Attendance

The member MUST have attended exactly 1 or 2 days (but not more than 2 days) every single Week in order to be displayed.  

If you choose:
     Participation Between 1-1-09 and 3-31-09
     Attended between 5 and 10 Days per Month
     Actual Attendance

The member MUST have attended exactly 5, 6, 7, 8, 9 or 10 days (not more, not fewer) every single Month in order to be displayed.

If you are looking for counts within a calendar year and are closed for summer break or any other period of time then you must use the Grouping Tool.  This will allow you to select the date ranges that you are actually tracking attendance and put the members in a group and then select the second date range and add those kids to the group and so on.  Then you can print a list of those kids that are in the group based on the chosen criteria.

For example, if you want to know which kids attended at least 2 days each week from 9/1/08 to 6/30/09 but your organization was closed 12/22/08 – 01/02/09 and also 4/6/09 – 4/10/09:

1.      Select Participation Between 9/1/08 and 12/19/08
Attended Between 2 and 5 Days per Week
Actual Attendance

2.      Select Grouping Tool.  Add those Members to an empty Group (e.g. “Attended 08-09 Range 1”).

3.      Next, select Participation Between 1/5/09 and 4/3/09
Attended Between 2 and 5 Days per Week
Actual Attendance

4.      Select Grouping Tool.  Add those Members to an empty Group (e.g. “Attended 08-09 Range 2”)

5.      Next, select Participation Between 4/13/09 and 6/30/09
Attended Between 2 and 5 Days per Week
Actual Attendance 

6.      Select Grouping Tool.  Add those Members to an empty Group (e.g. “Attended 08-09 Range 3”)

7.      Open the U.S.E.  Select the Groups choice on the left.  Choose ‘Select Members belonging to ALL groups chosen below” and then Select the three new Groups (“Attended 08-09 Range 1”, “Attended 08-09 Range 2”, “Attended 08-09 Range 3”).

You may then use the Grouping Tools to create a final Group (e.g. “Attended 2x/Week 08-09”).  This Group includes all Members who attended at least two times a week in each of the date ranges.
