QUICK TIPS
Using Quick Entry
1. To track attendance for activities click on
the Quick Entry button on the Main Menu.
2. A screen will appear to verify your date and
time, click yes if the date and time are correct.
3. The Quick Entry screen MUST be open to scan
members.
4. The default Activity available for scanning
is General Attendance. If you want to scan for any other
previously setup activity then choose it from the Activity dropdown
in the center of the screen.
5. The cursor must be in the large white
rectangle in the bottom center of the Quick Entry screen.
6. The settings on the screen will be on:
a. All Members attend
an Activity at a Single Unit.
b. Scan Now (with the
current time visible)
7. If you open the Quick Entry screen and there
is not a General Attendance activity scheduled for that day, then
you will be giving the option to go to Activity scheduling.
8. To scan a member:
a. Hold the members ID
Card with the Barcode level with the red light on the scanner or
b. Type in the members
membership number and push enter on your keyboard or
c. Type in the members
last name and push enter on your keyboard
NOTE: It is NOT
NECESSARY FOR A MEMBER TO HAVE AN ID CARD TO CHECK INTO MEMBER
TRACKING SYSTEM – YOU CAN USE A Last Name or Member Number
9. If you are tracking for Time In and Out then
all members MUST scan In and Out
10. If you are using the Unattended Operation
then you will be able to proceed to the nest member. If not
then you will have to click on the Yes Ok to proceed to scan the
next member.
11. The Fire Drill Report will print a list of
members who have scanned for the day and provide a count of members
still in the building.
12. The End of Day Report will print a list of
members who have scanned for the day and provide summaries of your
choosing.
13. The Quick Entry Hardcopy prints a list of
members who scanned with their Time In and Out and total hours for
the day.
14. The Get Quick Counts shows how many members
have scanned in and how many are still in your building.
15. The Quick Entry Settings allow users to set
up different scanning features.
a.
Quick Entry Station ID must be set with a UNIQUE number between 1
and 32000
b.
Use Unattended Operation
i.
No – requires a click of Yes or No that the correct member
just checked in
ii.
Yes – does not require clicking Yes or No and the member can
just proceed
c.
Message Display Duration works with Unattended Operation on Yes
(recommend 1)
d.
Show Expiration Date – displays the Expiration Date on the Welcome
screen after a scan
e.
Show Member Picture – displays the picture on the Welcome screen
after a scan
f.
Show Happy Birthday Message – displays a Birthday Message on
the Welcome screen after a scan if it is a members birthday
g.
Show Checkbox for Membership Card Needed – allows you to check that
a member needs a new card for printing later
h.
Show Contacts during Scan Out – allows you to choose a
contact that picked up the member
i.
Show Member Age – displays the members Age on the Welcome
screen after a scan
j.
Show Member Age Group – displays the members Age on the
Welcome screen after a scan
k.
Show Member Fee Level – displays the members Fee Level on the
Welcome screen after a scan
l.
Show Member Account Balance – displays the members Account
Balance on the Welcome screen after a scan
m.
Fire Drill Report Style – shows different options for the Fire Drill
report
n.
Prompt for Quick Entry End of Day Shutdown Processing – allows you
to give any member or staff an Out time if they forgot to scan out
o.
Quick Entry Message for Members, Staff or Volunteers – allows for a
custom member on scan out for each of the 3 types of persons
scanning
p.
Use Member Messaging System – shows a Custom message that was setup
for any member in the General tab of the Members form
q.
Warn if Member Status is Invalid – shows a large red screen if a
member is Non-Active
r.
Member Stars can be awarded for the first scan in of each
day – different counts are given for ID Card scan vs. Member Number
or Name (use this to encourage members to bring their ID Cards)
16. The Add new Person allows the user to add a
new person quickly without exiting Quick Entry. NOTE: Only
basic information is gathered here.
17. The Info & Instructions can be information
that one user might leave for another user and it has Vision's toll
free phone number.
18. The Undo is used if a member scans too many
times or if a wrong number was typed in.
19. In the top right corner of the screen click
on the blue i then
check a member in and you will see an information page on
a particular member.
20. The binoculars will show when a
member has attended.
21. The yellow
bell allows you to set a
message for a member that will appear when checking in or out based
on your setting in the Quick Entry Settings screen.
22. The red $
lets you charge members and receive payments from within the Quick
Entry screen.
23. The button
will allow reading of fingerprints if you have purchased that
feature.
24. The Help will give you more information
about Quick Entry.
