Scheduled Maintenance
Activities
Member Tracking System offers a scheduled
maintenance activities screen to assist you in keeping your data in
the best shape possible.
Upon opening Member Tracking System, you may
get a pop-up with a list of activities to be performed.
These activities will be:
Back-up Data **
Compact & Repair Data and Standards **
Compact & Repair Program File
Update Age Groups
Find & Fix Missing Member Data
Repair/Resolve Household Occupant Records
Edit Data
Find & Fix Missing Staff Data
Back-up Organization Information and Standards
Clean up Sessions and U.S.E. Temp tables
Reset Autonumber Seed Values **
Charge/Payment Imbalances
Delete Unattended Activity Sessions
Update Holidays Table in Org Info
Change Expired Membership Numbers
**PLEASE NOTE: SQL users will not
need to perform these activities since they are unnecessary for SQL
databases.
You will see the activity, with the recommended
frequency of this maintenance activity, the last time this was
performed, and the date due.
To perform the first activity, double-click on
the maintenance activity. You may then receive an additional screen
pop-up, where you can begin your procedure.
If you need to postpone the maintenance
activities:
Select the procedure
Select a period of time under the Remind Me Again
In: section
Click “Snooze”
Or click Snooze All One Day button
Should you want to go to the scheduled
maintenance activities screen after snoozing or going to the Main
Menu:
Open Procedures
Click on the Tools tab
Click on Member Tracking System Maintenance activities
This will allow you to see all activities that
are suggested to keep your Member Tracking System working
effectively and efficiently. To go to a selected activity, select
the activity and click on the Open Procedure Form. Each
Procedure will contain its own instructions on what exactly it is
and how to use it.
You can modify the frequency of the activity as
well, but we strongly recommend all of these maintenance activities
to be done on a regular basis.
Explanation of Terms:
Maintenance Activity: the name or description of the Procedure
that should be performed regularly to ensure the integrity of Member
Tracking System
Frequency: how often Vision Computer
Programming Services, Inc., recommends a User perform this
Maintenance Activity
Due: the calculated Date when the
Maintenance Procedure should be performed next
Last Performed: each time the Procedure
is performed by a User, the date is stored
Last Reminder: the last time a pop-up
came up during sign-in to Member Tracking reminding a valid User to
perform the Procedure
User Who Last Snoozed: the User Name of
the User who clicked the 'Snooze' button on the pop-up reminder
Last Snooze Duration: when a User
clicks the 'Snooze' button on the Maintenance Activity pop-up form,
that User selects a period of time to postpone the Activity
Next Reminder: the date when another
pop-up reminder will be sent for Users who have Permission to see
these reminders
- If the Activity is not past due, then the Next Reminder date
= the next date the Activity is due
- If the Activity IS past due, then the Next Reminder date =
the number of 'Snooze' days after the Last Reminder
