Backup Member Tracking System

BACKUP YOUR DATA AT LEAST ONCE A WEEK!

This routine will place a backup copy of your data onto a flash drive or CD.
The Data file contains all information on the Main Menu EXCEPT the Organization Information and Survey Names, Dates and Questions.
Flash drives, Writeable CDs and Zip disks are the easiest and most portable backup methods.


BACKUP TO FLASH DRIVE THRU PROCEDURES:
1. Click on Procedures from the Main Menu
2. Click on Backup All Data & Pictures
3. Click on the yellow folder to choose the path of the flash drive (usually E: or F:)
4. Click on the Compress the File checkmark (this is optional and depends on the amount of space available on the
    flash drive)
5. Click on Backup Data to Disk
6. Click OK at Your backup is complete message and close out of the backup screen.

OR...

BACKUP TO A CD:
1. Close out of everything on your computer
2. Insert a blank writable CD
3. Open Windows Explorer
    a. Push the Windows flag and the letter e on your keyboard or;
    b. Double click on the My Computer icon on the desktop or;
    c. Click on Start, Programs, Accessories, Windows Explorer
4. Find the Member Tracking data and standards files (MTS7data.mdb and MTS7stds.mdb)
    a. If your computer is a freestanding workstation then the data and standards files will be located in C:\Program Files\MTS7 or in C:\Users\Public\MTS7 on a Vista computer
    b. If you are connected to a server then you will have to find the location of the data and standards files on your server
5. On the right side of the window click on the MTS7data.mdb so it is highlighted
6. Hold down the control key and on the right side of the window click on the MTS7stds.mdb
7. On the right side of the window Right click on the MTS7data.mdb file and choose Copy from the list
8. Find the CD drive on your computer on the left side of the window (usually labeled D: or E:)
9. Right click on the CD drive & choose Paste from the list
10. When the data and standards are finished pasting they will be visible on the right side of the window when you click on the CD drive
11. Right click on the CD drive on the left side of the window and choose Write these files to CD from the list
12. The CD writing Wizard will appear and allow you to name the CD
13. After naming the CD something like Backup mm-dd-yyyy then click on Next
14. The CD software will write the data & standards files to the CD and eject the disk.
15. OPTIONALLY: You can also copy and paste your Pictures folder to the CD if you are taking pictures of your members.
Most Computers and CD burners will have this capability – sometimes the instructions will be different so follow the prompts in your CD Writing software to accomplish a regular backup.

OR...

BACKUP MANUALLY THRU WINDOWS EXPLORER:
1. Close out of everything on your computer
2. Insert your Flash Drive into a USB port on the computer
3. Open Windows Explorer
    a. Push the Windows flag and the letter e on your keyboard
    b. OR Double click on the My Computer icon on the desktop or;
    c. OR Click on Start, Programs, Accessories, Windows Explorer
4. Find the Member Tracking data and standards files (MTS7data.mdb and MTS7stds.mdb)
    a. If your computer is a freestanding workstation then the data and standards files will be located in C:\Program Files\MTS7 or in C:\Users\Public\MTS7 on a Vista computer
    b. If you are connected to a server then you will have to find the location of the data and standards files on your server
5. On the right side of the window click on the MTS7data.mdb so it is highlighted

7. On the right side of the window Right click on the MTS7data.mdb file and choose Copy from the list
8. Find the Flash drive on your computer on the left side of the window (usually labeled E: or F:)
9. Right click on the Flash drive & choose Paste from the list
10. When the data and standards are finished pasting they will be visible on the right side of the window when you click on the Flash drive
11. OPTIONALLY: You can also copy and paste your Pictures folder to the Flash Drive if you are taking pictures of your members.


HOW OFTEN SHOULD YOU BACKUP YOUR DATA…
BACKUP YOUR DATA AS OFTEN AS YOU DO NOT WANT TO RETYPE THE PREVIOUS WORK!!


NOTE: If you are a multi-site organization and backup your data from your sites to the administrative office or central location the Data file should ONLY ever travel from the site to the administrative or central office.
