Follow these steps if you are a multi-site
organization and want to import your data into one data file in
order to pull organization-wide reports.

At the satellite site open the Member Tracking System to the Main
Menu

Click on the Procedures button

Click on the Compact and Repair Data and Standards button
-
Click OK after reading the information
-
A window will appear that displays a message “A backup has been
made to your C:\MTS7backup folder. Click to continue the Repair
and Compact Procedure”

Click
OK
-
A window will appear that displays a message “The compact and
repair is complete!”
-
Click OK
-
Click Close on the Compact and Repair screen
-
You are now back on the Procedures window
-
Click on the Backup all Data and Pictures button – CD’s must use
the CD writing software to make backups
-
PLEASE READ THE INSTRUCTIONS ON THE SCREEN
-
Choose a path where the Data and Pictures will be backed up to by
clicking on the yellow folder at the end of the blank white box
(Flash Drives are PREFERRED)

Optionally click the Compressed File checkbox if you do not have a
lot of space in the location that you want to backup

Click on the Backup Data to Disk button
-
A window will appear that asks you to “Verify a disk or other
media is ready in … and Press OK”

Click OK
-
A window will appear that says “Your backup is complete”
-
Click OK and close out of this screen
-
Take your CD, Zip Disk or Flash drive to the main office
-
The main office will take your media and insert it in to their
computer – NOTE: All files must be UNZIPPED before importing

Open the Member Tracking System
-
Click on the Procedures button
-
Click on the Import Data from Disk button
-
PLEASE READ THE INSTRUCTIONS ON THE SCREEN and use the
import method that best meets your needs

Import
Data From Disk Using Record Transfer –
NOTE:
THIS OPTION TAKES A LONG TIME TO IMPORT because it is importing
each record one at a time.

Double click on the white box under the Data Path and browse to
the location of the data on the Flash Drive or CD

Double click on the Mts7Data.mdb or click on it and click Open

Click on the Select checkbox next to the data file that you would
like to import

Optionally choose to Import Activities, Attendance & User Log Data
that occurred on or after:
NOTE: If you import your data on a regular basis then you do not
need to import all of the data every time. Fill in a date that is
1 day PRIOR to the last time you imported. This will only bring
in the current data and take a little less time to complete

Click the Import button

A message “A Quick Backup will be made before the Import” will
appear, click OK

A message “A backup has been made to your C:\Mts7backup\” will
appear, click OK

A message “The Import of the ‘Selected’ files will now start” will
appear, click OK

The backup will proceed and give a message “Import of Data is
Complete…”, click OK, click Close

Import Data From Disk Using Batch Transfer –
NOTE:
THIS OPTION TAKES A SHORTER AMOUNT OF TIME TO IMPORT.

Double click on the white box under the Data Path and browse to
the location of the data on the Flash Drive or CD

Double click on the Mts7Data.mdb or click on it and click Open
-
Click on the Select checkbox next to the data file that you would
like to import
-
Optionally choose to ‘Only include Activities on/after: fill in a
date here’
NOTE: If you import your data on a regular basis then you do not
need to import all of the data every time. Fill in a date that is
1 day PRIOR to the last time you imported. This will only bring
in the current data and takes less time to complete

Click on the Process All Data button at the bottom of the form

A message “A Quick Backup will be made before the Import” will
appear, click OK

A message “A backup has been made to your C:\Mts7backup\...” will
appear, click OK

Then click on the Import button

The import will proceed and give a message “Import of Data
complete”, click OK

Close out of the Select Data Import Method window and the
Procedures window and review the data that was just imported into
your master file to make sure everything was transferred in.
Both of the import routines will allow you to
import more than 1 file at a time. You can set it up to perform the
import and go to lunch or home for the day and come back in and the
data will be imported.
