If you would like to bill your members for
attendance or an early bird program follow these simple steps...
To bill for General Attendance then scan your
members as usual in the Quick Entry section for the Activity named
General Attendance.
To bill for an early bird program, create an
Early Bird activity in Organization Information, schedule it in
Activities and scan your members as usual in the Quick Entry section
for the Activity named Early Bird.
After your attendance or early bird has been
scanned and you are ready to do your billing:

From the
Main Menu, click on Groups

Click on
Add Group and name it Daily Billing (NOTE:
this group will be used regularly as a holding spot to bill your
members)

Close out of Groups
-
Click on the Activities button from the Main
Menu

If you are billing for General Attendance
then go to today's date and double click on the GenAtten activity
- this will open the Session Details screen
-
On the left side of the screen you will see
the list of attendees for General Attendance, click on the Select
All button on the bottom left

On the Groups tab in the center of the
screen, click on the Target Unit dropdown and choose your Unit

Click on the Target Group dropdown and choose the Daily Billing
group that was created earlier

Click on the green arrow
-
You will then see the same Attendees from the left in the list on
the right
-
Close out of the Session Details screen
-
Close out of the Activity Calendar screen

Click on the Groups button from the Main Menu
-
Choose the Daily Billing group from the dropdown in the top right
corner
-
The Members of the Group will appear on the left, click on the
Select All button on the bottom left corner
-
Click on the Apply Fee button on the bottom of the screen
-
On the Apply a Group Fee screen choose the Account from the
dropdown (NOTE: If you do not see the account needed then go to
Organization Information, click on the Accounts/MOP tab and add a
new account

Fill in a Comment Example: Daily Fee 6-11-08

Fill in the Charge amount if it does not fill in automatically

Click on the Apply button
-
You will be asked "Are you sure?" Click Yes
-
You will receive a message that the charges have been applied and
will be asked if you want to do another. Click No
-
IF any members have unspent payments (credit) you will get a
message indicating how many members have unspent payments that
could be applied to charges, asking if you want to process these
transactions now?

Answer Yes
-
This will take you to the Members with Unspent Payments and Unpaid
Charges screen

Choose a member from the list on the top left
-
Click on the Apply Payments to Unpaid Charges button

Click on the Apply Payment button
-
Click on the Auto-Distribute Unspent Payments button
-
Click on the Apply Payment to Charge(s) button

Follow steps 26 to 30 for each member who has unspent money
(credit)

Click on the Close button
-
This will take you back to the Groups screen and the members of
the Group are still highlighted on the left
-
Click on the red arrow to remove the members form the group so you
can use the group again the next day to perform your billing
-
If you are billing for an Early Bird activity then go to today's
date and double click on the Early Bird activity - this will open
the Session Details screen

Continue with steps 6 to 24 for the Early Bird activity or any
other activity that you would like to bill for
NOTE: You can alter these instructions for
billing for any group that you want to create.
Groups can be created from the Universal
Selection Engine screen by choosing your criteria and then clicking
on the Grouping Tools button and following the steps on that screen.
